These terms
These terms govern use of the Heabst platform, including the clinic workspace, the clinic websites published through it, and the patient booking experience on those websites. By creating a clinic, by being added to one as a staff member, or by booking through a clinic site, you agree to them.
Heabst is based in Kathmandu, Nepal. Where these terms are silent on a point, that is because the position has not been settled rather than because it has been decided quietly against you.
What the service does
Heabst provides software for running an outpatient clinic: a published clinic website, staff and doctor management, working hours and availability, appointment booking and rescheduling, patient records, and the recording of payments taken online or at the counter.
Heabst is a record-keeping and scheduling tool. It does not provide medical advice, does not practise medicine, and takes no part in clinical decisions. Clinical judgement, and the accuracy of what is written into a patient’s record, remain entirely with the clinic and its practitioners.
Accounts
You must give accurate details when creating an account and keep them current. You are responsible for activity under your account and for keeping your password to yourself. Accounts are personal: staff members should not share one.
Clinic administrators decide who has access to their workspace and with what role. Adding someone to a clinic gives them access to that clinic’s information as their role allows, so it is worth doing deliberately.

Clinic responsibilities
A clinic using Heabst is responsible for the information it puts into the system and for how it uses it. That includes:
- Having a proper basis for holding and processing the patient information it records, and telling its patients what it does with it.
- The accuracy of clinical records, prescriptions, uploaded reports and appointment details entered by its staff.
- The content it publishes on its clinic website, including the services, prices and practitioner details it presents to patients.
- Meeting the professional, licensing and regulatory obligations that apply to its practice. Heabst does not verify practitioner credentials.
- Managing its own staff access, and removing people who leave.
Acceptable use
You agree not to:
- Access a clinic workspace, patient record or account you have not been given access to, or attempt to work around the separation between clinics.
- Probe, scan or attack the service, or interfere with its availability for others.
- Upload malicious software, or content you have no right to publish.
- Use the platform to send unsolicited bulk messages, or to publish unlawful, deceptive or harmful content on a clinic website.
- Resell, sublicense or copy the platform, or reverse engineer it except where that cannot lawfully be prevented.
- Use the service in a way that breaks the law where you or your patients are.
Plans and payment
Clinic access is sold as an annual subscription on one of the published plans. Each plan sets limits on the number of doctors and receptionists a workspace may hold, and which features are included; the current plans and their limits are shown on the pricing page.
Subscription payments are taken through the payment providers integrated with the platform. A subscription runs for its term, and when the term lapses clinic staff lose access to the workspace until it is renewed. A clinic’s own information is not deleted merely because a term has lapsed.
Payments a clinic takes from its own patients are separate: those settle into the clinic’s own payment accounts, and the commercial relationship there is between the clinic and its patient.
We have not published a refund policy. If you think you have been charged in error, write to [email protected] and we will look at it.
Intellectual property
The Heabst platform, its software, design and the Heabst name and logo belong to Heabst. Using the service does not transfer any of that to you.
What a clinic puts into the platform stays the clinic’s: its patient records, its website content, its logo and its imagery. The clinic grants Heabst only the permission needed to host, process and display that content in order to run the service for it.
Availability and changes
We work to keep Heabst available and we monitor it, but the service is provided as it is. We do not currently offer a contractual uptime guarantee or a support response time, and we are not going to print one here that we have not committed to internally.
The service will change: features are added, improved and occasionally retired, and maintenance sometimes requires brief interruptions. Where a change materially reduces what a clinic relies on, we will give reasonable notice.
Suspension and ending an account
A clinic may stop using Heabst at any time by contacting us. We may suspend or end access where these terms are seriously or repeatedly broken, where the service is being used unlawfully, or where continued use threatens the security of the platform or other clinics.
Before ending a clinic’s access for such a reason we will make a reasonable effort to make contact first, unless doing so would make the problem worse. If you are ending your use of Heabst and need your clinic’s information exported, ask us and we will help.
Responsibility
Heabst is a tool a clinic uses to run its practice. We are not responsible for clinical decisions, for the accuracy of what clinic staff record, for a clinic’s compliance with its own regulatory obligations, or for the conduct of a clinic towards its patients.
The specific limits of legal liability between Heabst and a subscribing clinic have not been finalised and are deliberately not stated here as numbers. Where a written agreement exists between your clinic and Heabst, that agreement governs.
